Creating Files and Downloading Listing Information
How do I create a file for my client ?
Go to File>New and type in the name for when prompted then click the create button.

How do I open a file that I have already created?
File>Open - allows you to select a file from the list of those files that you have already created. Just double click on the name of the file you want to open or highlight the file name and click the open button.

How can I delete a clients file?
You can delete a file by simply going to File>Delete.

When I start up Tarasoft Titan all I see is the sample CMA what do I do?
The sample CMA is just that, it shows you a sample of what the downloaded listings generally look like. Simply go to File>Close to close this sample and then go to File>New to create your own file for downloading.

How do I limit my search by a price range, bedrooms, bathrooms or year built?
Uncheck the 'all' button you see on the right hand side of the main download screen this will allow you to enter a range of parameters you would like, remember to include all the zeros (Note: Don't forget to leave the 'all' button checked if you do not wish enter a range into the parameter).

What is a clipped listing?
The clipped listing format allows you to choose which parts of the listing information you want to include in your emails or print outs for your clients. You can use the clipped listing format when you want to send your client more details about the listing than are included in the standard/shorter email or print formats. For example if you want to exclude certain information, such as, the listing agent phone number information, but want to send out a detailed description of the listings.

Go to listings>Set Up Clipping to highlight the data you wish to include.

What is a distributed download?
A distributed download search is a good way to download MLS(r) listings for research purposes. It allows you to download all the active MLS(r) listings for your specified property type so that you may see the full inventory of properties available at that time for the area selected.

How can I change the name that appears at the bottom of the CMA?
The name that prints on the bottom of the page is the name of registered user that purchased Tarasoft Titan (You can confirm this by clicking on Help>About Tarasoft Titan). If you do require a name correction or change due to a spelling error or name change please contact us here at Tarasoft Technical Support for further instructions.

Why do my downloaded listings have a grey X beside them (orphaned listings)?
These are what we call 'orphaned' listings. Tarasoft Titan 2003 only has the ability to re-run the exact search you have entered under the download menu. If you have downloaded listings and then decided to change your search criteria the listings that no longer match your current search parameters with become orphaned. This means these listings are no longer associated with your current search criteria and Tarasoft Titan does not know what MLS(r) they came from so it basically flags these listings with the grey X and considers them orphaned. These listings will remain in your search but will not be updated in any way.

It is best to clear orphaned listings from your database and re-run your current search. (Listing>Delete all Listings), then re-run the download with new search criteria.

Can I download from 2 MLS(r) boards into one database?
This is not recommended, we would encourage you to create a separate database for each MLS(r) system that you work with.

Can I automatically email listings created by 2 different MLS(r) board's to my clients?
Yes, you can now add your databases to the Auto Update scheduler regardless of what MLS(r) system they were created with. For example if you use both ITEC and IMRMLS you can add seperate databases from both areas into your scheduler and Tarasoft Titan will automatically switch between them as required. NOTE: Be sure you are running one of our latest software updates, this will not work with databases created before 01/08/02, for these older existing databases you would have to open up each database and run one full download in order for the file to record and retain what MLS(r) it was created in.

Can I search using a part of a word or wild card?
For the majority of MLS(r) systems an asterisks (*) or percent sign (%) are used to specify a wild card. For example: Forest Grove* - finds subdivision that has forest grove in it (Forest Grove, Forest Grove Lot 2, Forest grove unit 1) will all be found.

Why didn't my download include the MLS(r) photos?
Check to make sure that you have checked the MLS(r) picture box when you do your download. If you are still having problems with the photos I would recommend downloading the latest software updates (Download>Tarasoft Titan 2003 Update), you can also contact us for further assistance.

Can I download the MLS photos after if I have already download the MLS(r) Listings?
You can also use the MLS(r) picture download to download the photos once you have downloaded the initial listings under Download>Download from MLS(r)>MLS(r) pictures.

How do I change my clients search criteria after I have added them to the Auto Update Scheduler?
You will simply need to open up your clients database by going to File>Open and select the file you wish to open. Once you have opened their database you can go back to your download menu and go to Download>Download from MLS(r)>MLS(r) listings, all of your search criteria should appear and you can change any of the parameters that you have selected. Once you have made this change this information will be saved and will be used as the download criteria for any future emails with the Auto Update Scheduler.

Emailing & Auto Update Scheduler
How do I automatically email my clients MLS listings?
Once you have downloaded listings for your client that you wish to automatically email your client go to Download>Auto Update Scheduler. Choose 'Add DB' and select your clients file from the list of files in your database directory. You will then need to go to DB settings and choose the dates and times you wish to send out the automatic email. Once you have finished setting up your preferences select OK. The scheduler will now run at the time you have specified.

How do I view the emails that I send out to my client?
The best way to see the emails sent out is to include your own email address with the automatic email. You can include more than one email address by separating them with a semi-colon.

Can I email a CMA?
Due to the highly complex nature of CMAs, all the page formatting, charts and graphs, text formatting, etc, it is not yet possible to email a CMA. This is one of the highest ranked requests on our wish-list for Tarasoft Titan 2003 and we do hope to offer a format for email sometime in the near future.

When I send out my emails with the Auto Update Scheduler can I change the stock message that sends out when there are no updates available?
You can only choose to send a 'no listing found message' or you can select to disable the message if no new/changed listings are found. You will find these settings in Titan's Auto Update Scheduler under the 'DB Setting' button.

I can not click the 'next' button when emailing my MLS(r) listings
Please confirm that you have entered a subject line into the email wizard form and that the email address you are sending to is typed in correctly and includes the entire email address, such as, johnsmith@hotmail.com.

Why is my Auto Update Scheduler not emailing my clients the updates as I have requested?
The Auto Update Scheduler can only send out emails if your computer is on and Windows is loaded at the time that you have scheduled the emails to send out. It is also important to confirm that your computer is not set to hibernate or has power save mode. If you continue to have a problem please contact us with as many details as possible, including any specific error messages you may be getting, the name of the MLS(r) board you connect to and any other information that may be relevant so that we can further help you determine why your email is not being sent.

How do I change my email to send out in PDF instead of HTML?
Open up your clients database base by going to File>Open and double click on the file you wish to change to PDF. You can then go to Tools>Email MLS(r) Listings and forward through to page 2 of the Email Wizard and choose PDF. This setting will then be saved as the default and the auto emails will continue to send out in this format.

How do I set up and/or email my listings in the clipped listing format?
Go to Listing>Set U0p Clipping and select the lines that you wish to include in your email or print out (only those lines that are highlighted will be included in your email or print out).

You can then print or send your emails by choosing the clipped listing format. For setting the default to email or auto email go to Tools>Email MLS(r) listings and forward through to the 'options' page in the email wizard and choose the clipped listing format. This will then be saved as the default setting for your email.

How do I include more than one email address when sending out an automatic email message?
You can include more than one email address when sending out an email by separating the email address's with a semi-colon. (Example: jsmith@tarasoft.com;wsmith@tarasoft.com) You can set this up under Tools>Email MLS(r) listings or by adding additional addresses into the auto update scheduler under DB Settings.
